 Key responsibilities

  • Calendar and schedule management: 
    Manage and coordinate the executive's schedule, including scheduling meetings and appointments, and adjusting as priorities shift. 
  • Communication: 
    Screen and respond to emails, phone calls, and in-person inquiries, acting as a liaison between the executive and internal/external partners. 
  • Travel and logistics: 
    Arrange all aspects of business travel, including booking flights and hotels, preparing itineraries, and completing expense reports. 
  • Document and information management: 
    Prepare reports, presentations, and other corporate documents. Maintain and organize confidential files and information with discretion. 
  • Meeting coordination: 
    Organize meetings, prepare agendas, take minutes, and ensure all necessary resources are available. 
  • Administrative support: 
    Handle general office tasks such as ordering supplies, maintaining contact databases, and providing support for special projects. 
  • Gatekeeping and problem-solving: 
    Screen visitors and calls to protect the executive's time, and proactively handle issues as they arise.

Required skills and qualifications

  • Experience: Training provided for the right person
    Previous experience as an executive assistant, personal assistant, or in a similar administrative role. 
  • Organizational skills: 
    Excellent organizational and multitasking abilities are crucial. 
  • Communication skills: 
    Strong written and verbal communication skills are essential for interacting with various stakeholders. 
  • Technical proficiency: 
    Proficiency with office software to include Odoo (training provided)
  • Personal attributes: 
    A high degree of professionalism, discretion, trustworthiness, and problem-solving skills. 
  • Education: 
    A bachelor's degree in business administration, communications, or a related field is often preferred
